Job Summary:
The Certified Medical Assistant plays a crucial role in the smooth operation of the Integrated Health Services Department by performing a variety of administrative and clinical tasks. This position supports both office management functions and direct patient care, ensuring compliance with state laws and regulations. The duties of this role may vary based on the site, location, and specific business needs.

Key Responsibilities:
Administrative:
  • Provide front desk reception services and manage incoming phone calls, including appointment scheduling.
  • Enter all scheduled appointments into the Electronic Medical Record (EMR) system.
  • Greet employees, provide necessary medical forms, and guide them in completing forms electronically.
  • Assist employees with completing EMR questionnaires electronically.
  • Complete initial clinic entries into the EMR system and ensure all data is accurately recorded.
  • Scan and upload relevant documents into the EMR system for easy access.
  • Record and manage disability-related calls in the EMR system.
  • Maintain spreadsheets and reports for medical surveillance purposes.
  • Contact employees to schedule appointments for medical surveillance and monitor compliance.
  • Provide administrative support for employee case management, ensuring proper documentation.
  • File and maintain financial records, correspondence, and manage mail processing.
  • Purchase and maintain office supplies and medical equipment as needed.
  • Prepare reports, spreadsheets, and graphs as requested by clinicians for patient care or administrative needs.
  • Arrange external referrals, as directed by clinicians.
  • Use medical terminology in communications with staff and patients to ensure clarity and accuracy.
  • Maintain confidentiality and follow legal and ethical guidelines at all times.
  • Assist in preparation for audits (1st and 2nd party) to ensure compliance.
  • Perform other duties as assigned that align with the position.
Clinical:
  • Measure and record vital signs for patients, ensuring accuracy.
  • Communicate the patient's chief complaint to the clinician for proper diagnosis and treatment.
  • Perform routine surveillance screenings and tests, including:
  • Random drug screens
  • Pulmonary function tests (PFT)
  • Audiograms
  • Vision screenings
  • Phlebotomy and collection of lab specimens
  • Electrocardiograms (EKGs)
  • Assist clinicians during patient exams as needed.
  • Clean and change exam table coverings between patient visits to maintain hygiene standards.
  • Perform basic first aid procedures, including dressing changes and bandage application, as directed by clinicians.
  • Provide employee care within the work setting under the supervision of clinical staff.

Required Qualifications:
  • High School Diploma or equivalent; additional training in medical office administration or a related field is preferred.
  • Basic knowledge of medical terminology.
  • Certification in phlebotomy or related clinical tasks is preferred, or the willingness to obtain it.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.

Preferred Qualifications:
  • Experience working in a medical office or healthcare setting.
  • Familiarity with Electronic Medical Record (EMR) systems.
Certifications:
  • Phlebotomy certification (preferred).
  • CPR/BLS certification (preferred).

Education: High School

Certification: Basic Life Support
