The Surgical Scheduler is responsible for maintaining and managing the surgical schedule for the practice, ensuring that all appointments, procedures, and tests are efficiently coordinated. This role involves obtaining necessary authorizations, arranging pre-operative testing and medical clearances, and managing communication with patients and hospitals. The Surgical Scheduler also maintains accurate patient records, confirms procedures, and supports the physician's schedule and academic meetings.
Key Responsibilities:
Surgical Scheduling & Coordination:
Maintain and manage the surgical schedule for the practice, ensuring proper timing and coordination of procedures.
Obtain authorizations for surgeries and procedures when required.
Coordinate with hospitals to schedule and arrange all necessary patient pre-op testing, medical clearances, and other relevant procedures.
Confirm patient dates and times for procedures, ensuring patients are informed and prepared.
Manage the physician's weekly schedule, ensuring appointments and surgeries are appropriately allocated.
Patient Communication & Chart Preparation:
Triaging patient phone calls appropriately, directing them for office visits, tests, surgeries, and other necessary encounters.
Prepare and maintain patients' charts, ensuring all records are accurate and up to date.
Ensure that patients receive the necessary pre-operative instructions and follow-up communications.
Administrative & Confidential Duties:
Handle confidential patient information with care and in compliance with privacy regulations.
Coordinate and manage academic meetings, including travel arrangements for the physician.
Assist with cash transactions, ensuring accurate calculations and collection as required.
General Support:
Support the office in additional administrative duties as necessary to ensure smooth operations.
Required Qualifications:
Familiarity with medical terminology and the ability to accurately apply it in scheduling and patient communications.
Strong organizational skills to effectively manage multiple schedules, appointments, and tasks.
Excellent communication skills, with the ability to communicate clearly and professionally with patients, physicians, and hospital staff.
Ability to handle confidential information with discretion and in compliance with privacy regulations.
Experience in scheduling and managing complex schedules.
Preferred Qualifications:
Previous experience in a medical office or surgical scheduling role.
Experience with medical software systems and scheduling platforms.
Ability to handle cash transactions and manage financial records related to patient payments.
