Executive Assistant

Job Summary
We are seeking an experienced Executive Assistant with strong project management skills to provide high-level administrative and operational support to the Chief Administrative Officer (CAO) of the Neurology Department. This role also includes coordinating the Harvard Medical School Neurology Clerkship program.

The ideal candidate is highly organized, proactive, and skilled in managing multiple stakeholders in a fast-paced academic healthcare environment.

Key Responsibilities
Executive Assistant Duties
  1. Provide senior administrative support to the CAO, including calendar management, meeting coordination, presentations, and long-term planning.
  2. Track departmental projects, prepare agendas and minutes, monitor assignments, and ensure deadlines are met.
  3. Serve as payroll delegate, processing weekly timesheets (80–100 employees).
  4. Coordinate faculty recruitment lifecycle (postings, offers, onboarding/offboarding, HR systems, credentialing, payer enrollment).
  5. Manage physician onboarding across sites, including system access, badges, scheduling, and orientation.
  6. Oversee office space planning, moves, facilities requests, inventory, and vendor communication.
  7. Maintain shared resources (OneDrive/SharePoint) and departmental documentation.
  8. Support faculty administrative processes, including appointments and rank tracking.
  9. Manage annual compliance tracking (flu, fit testing, trainings, reporting).

Clerkship Coordinator Duties
  1. Coordinate logistics for medical student rotations (4–6 students per month).
  2. Manage onboarding requirements (Workday, health clearance, Epic training, IT access, badges).
  3. Serve as primary contact for students during rotations, including orientation, scheduling, and support.
  4. Maintain Canvas course content and communications.
  5. Manage evaluations (OASIS/BLUE), track completion, and coordinate feedback sessions.
  6. Ensure compliance with academic calendars, policies, and documentation.

Required Qualifications
  1. Bachelor’s degree preferred.
  2. 5–8 years of related experience (academic healthcare strongly preferred).
  3. Prior experience as an Executive Assistant and/or program coordinator.
  4. Strong project management and organizational skills.
  5. Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Access) and web-based systems.
  6. Excellent communication, multitasking, and interpersonal skills.

Preferred Qualifications
  1. Experience supporting senior leadership in academic or healthcare settings.
  2. Familiarity with medical education programs and clerkship coordination.
