Practice Assistant

Job Summary
The Practice Assistant performs both administrative and clinical support functions to ensure smooth and efficient practice operations. Under general supervision, this role handles routine clerical tasks, patient scheduling, check-in/check-out duties, and provides customer service to patients and providers. The Practice Assistant also supports billing, documentation, and communication processes to maintain high standards of patient care and office efficiency.

Key Responsibilities
  1. Perform administrative duties including scheduling, check-in, check-out, and appointment record maintenance
  2. Greet and assist patients to ensure a positive experience
  3. Answer telephones, assist callers with routine inquiries, and schedule appointments
  4. File and manage patient records including filing, scanning, and printing schedules
  5. Process billing forms and update patient medical records/LMR
  6. Coordinate medical records and laboratory test results
  7. Handle mail and faxes including opening and distributing unit communications
  8. Support prior authorizations, provider questions, prescription refills, and test results
  9. Act as Super User for scheduling, registration, and billing systems, providing assistance and training to others
  10. Perform specialized functions such as surgical scheduling or schedule changes at advanced competency levels

Required Qualifications
  1. High school diploma or equivalent required
  2. 2–3 years of related experience in administrative or clinical support
  3. Strong organizational and critical thinking skills
  4. Excellent customer service and phone communication skills
  5. Proficiency with Microsoft Office Suite and knowledge of office operations and procedures

Preferred Qualifications
  1. EPIC experience in scheduling and medical records management
  2. Experience handling surgical scheduling or advanced practice operations

  1. Ability to manage time effectively and prioritize multiple tasks
  2. Strong written and verbal communication skills for correspondence and documentation
  3. Ability to maintain confidentiality regarding patient information
  4. Well-organized with strong problem-solving skills to handle routine and non-routine issues
