The Patient Services Coordinator II provides administrative support to healthcare providers in a high-volume ambulatory setting, serving as the primary interface between patients and providers. This role emphasizes the ability to organize priorities, manage confidential patient information, and enhance the quality of service to patients under the general supervision of the Practice Manager.
Key Responsibilities
Perform check-in and check-out functions in accordance with MGH/MGPO Front Desk Standards of Operations.
Maintain confidentiality consistent with HIPAA guidelines.
Support providers in problem-solving and managing complex administrative patient issues.
Triages complex calls using courteous customer service skills.
Perform revenue enhancement activities including registration verification, co-payment collection, cash management, and encounter form reconciliation.
Schedule appointments and procedures using Epic systems (Cadence and Epic Clinical).
Manage Epic In Baskets and Workqueues.
Coordinate follow-up appointments via Epic Follow Up Work Queue Lists.
Assist with training and orientation of new staff.
Facilitate patient flow and enhance the quality of service to patients.
Perform other related tasks as directed by the Practice Manager.
Required Qualifications
High school diploma or equivalent required; Associate’s degree preferred.
Experience in healthcare administration or patient services in an ambulatory setting.
Strong organizational skills with the ability to prioritize tasks in a high-volume environment.
Excellent communication and customer service skills.
Proficiency with Epic systems (Cadence, Clinical, In Baskets, Workqueues).
Knowledge of HIPAA and patient confidentiality standards.
Preferred Qualifications
Prior experience in a hospital or medical practice front desk role.
Familiarity with revenue cycle activities such as registration verification and co-payment collection.
Experience training or mentoring new staff.
Certifications
None required; training in HIPAA compliance and Epic systems preferred.
